One of the most useful things you can do for your freelance business is build a dedicated Claude project for pricing and proposals. Once it's set up, you can use it to price new work quickly, build custom proposals in minutes, and make sure your rates are always grounded in your real numbers — not guesswork.

This lesson walks you through exactly how to build one.

What is a Claude project?

A Claude project is a dedicated workspace inside Claude.ai that lets you upload documents and give Claude persistent context about a specific topic or task. Unlike a regular Claude conversation, a project remembers what you've uploaded and uses that context every time you open it.

For pricing, this means you can upload your rates, your service descriptions, your past proposals, and your pricing guide — and then ask Claude to help you price and propose new work based on your actual information, not generic advice.

What you'll need before you start

Before you build your pricing project, gather the following documents. They don't need to be perfectly formatted — just clear and accurate:

  • Your current pricing guide — the document you send to potential clients with your rates and services
  • Your rates calculator or baseline rate — whatever you use to calculate what you need to earn. See [The Rates Calculator](link to come) if you haven't built one yet.
  • A description of your services — this can be pulled directly from your website's services page or written out in a simple doc. Include what each service is, what it includes, and roughly how long it takes you.
  • 2–3 past proposals you've sent to clients — these give Claude a sense of how you structure and present your pricing in the real world
  • A proposal template — if you have one. If not, Claude can help you build one once the project is set up.

Step 1: Create a new Claude project

  1. Go to claude.ai and sign in
  2. In the left sidebar, click "New Project"
  3. Give it a name — something like "Pricing and Proposals" works great
  4. You'll land inside your new project workspace

Step 2: Upload your documents

  1. Inside your project, look for the "Project Knowledge" section
  2. Upload each of the documents you gathered — your pricing guide, rates calculator, service descriptions, past proposals, and proposal template
  3. Claude will process each document and use it as context for every conversation you have inside this project

Step 3: Write a project prompt

A project prompt is a set of instructions that tells Claude how to behave inside this specific project. Think of it as a briefing you give Claude before you start working together.

Here's a template you can customize:

You are a pricing and proposal assistant for [your name], a freelance [your service type] specializing in [your niche].

You have access to [your name]'s:

  • Current pricing guide
  • Baseline rate and rates calculator
  • Service descriptions
  • Past proposals
  • Proposal template

When [your name] describes a new project or client, your job is to:

  1. Ask any clarifying questions you need to accurately scope the project
  2. Suggest a price based on [your name]'s existing rates, the scope of work, and the value being delivered
  3. Flag if the project seems to fall outside [your name]'s usual services or pricing structure
  4. Draft a proposal using [your name]'s proposal template and voice if requested

Always base your suggestions on the documents provided. Never suggest rates lower than [your name]'s baseline rate. If the project is complex or high-value, reference the guidance in [your name]'s pricing guide about charging above baseline.

Paste this into the Project Instructions field inside your project, customized with your own details.

Step 4: Test it

Before you use this project for a real client, test it with a recent project you've already priced. Describe the scope to Claude and see if its pricing suggestion matches what you actually charged. If it's off, add a note to your project instructions clarifying how you price that type of work.

A few prompts to try:

  • "A SaaS startup wants me to write 4 blog posts per month, 1,500 words each, with SEO optimization. How should I price this?"
  • "A small outdoor brand wants a brand voice guide. They have a team of 3 and want to use it for social, email, and their website. What would you charge and why?"
  • "Can you draft a proposal for a 3-month SEO retainer for an e-commerce client? Their main goal is increasing organic traffic to their product pages."

Step 5: Turn it into a skill (optional but recommended)

Once you've tested your project and it's working well, you can save a version of your project prompt as a Claude skill — a reusable instruction set you can deploy quickly without rebuilding the project from scratch.

To do this:

  1. Refine your project prompt until it's consistently giving you accurate, useful pricing suggestions
  2. Save the final version somewhere you can easily access it — a Notion page, a Google Doc, or a note in your project itself
  3. When you need to rebuild or update your project in the future, you can paste this prompt back in and be up and running immediately

As your rates, services, and experience evolve, update your project documents and prompt to reflect the changes. A pricing project that's 18 months out of date isn't useful — build in a habit of updating it every time you raise your rates or add a new service.

How to use your pricing project day to day

Once it's set up, here's how to actually use it:

  • When a new inquiry comes in: Open your pricing project, paste in the project description from the client's email or discovery call notes, and ask Claude to suggest a price and flag anything that seems outside your usual scope
  • When you need to write a proposal: Describe the project and ask Claude to draft a proposal using your template. Edit it in your voice before sending.
  • When you're not sure how to price something unusual: Describe the situation and ask Claude to reason through it based on your existing rates and the value being delivered
  • When you're raising your rates: Update your pricing guide document in the project so Claude always has your current numbers

A few important notes

  • Always review and edit before sending. Claude will get close, but your proposals should sound like you and reflect the specific nuances of each client relationship. Nothing goes to a client without a human pass.
  • Your pricing is your decision. Claude's suggestions are a starting point, not a final answer. If something feels off, trust your gut and adjust.
  • Keep your documents current. An outdated pricing guide in your project will produce outdated suggestions. Update it every time something changes.
